As we are on Facebook, Twitter and YouTube, we invite you to visit our pages on these sites to obtain information concerning our activities and to interact with us. That said, we hereby expressly bring to users’ attention the fact that we have no control either over the terms of use of such services or the owners of such services. While we will diligently handle any personal data on such platforms, we cannot be held liable for any action taken by any owner of any social network site or by any third party.

We hereby expressly draw your attention to the fact that social-network owners that we use for communication purposes archive data outside of Germany and use it for commercial purposes. We have no knowledge as to the scope of such data or the term of its archiving. However, you are legally entitled to ask any such owner to allow you to view your personal data. We deliberately forego any use of the functions that allow for the tallying of Tweets and Likes on social media Web sites. In lieu of such functions, we have opted for an alternative modality whereby our Web site is not directly linked to such social media sites and any possibility that any data can be sent to any owner of any social media Web site is excluded. We solely tally the number of times a user clicks on “Like” in respect of any item on our Web site or tweets such item. We then compare these tallies with data from social media services. As these tallies are effected every ten minutes, they may be delayed. In no case do we store any user data, and in particular any user IP address.

For us the debate surrounding social media data privacy is a very serious matter. We monitor this debate as well as the audits that are conducted by the competent authorities, and continuously seek ways to improve our social media presence in keeping with data privacy laws. We recommend that users also give some thought as to which personal data they wish to disclose on social media. We also recommend that social media users regularly check the data privacy settings on such Web sites.

6. E-mails

E-mails that users send us may be subject to security vulnerabilities, by virtue of the fact that on their way to their UBA recipient they may be stopped and viewed by hackers or other seasoned Internet users. Insofar as we receive an e-mail from any user via the contact form or in any other manner, we will presume that we are entitled to respond to such e-mail using the sender’s e-mail address. Any user who has any concerns in this regard is advised to consider using postal mail or another communication modality.

Exercise care in the event you receive a suspicious e-mail. Wrongdoers often attempt to install viruses, trojans or other malware on Internet users’ computers using e-mail attachments or links, by making users anxious through references to unpaid bills or by getting users’ attention through references to dramatic events. Hence you should beware of e-mails with sensational sounding subject lines or that are of dubious origin. Delete such e-mails immediately and never click on any attachment or link in such e-mails. Bear in mind that the UBA never sends e-mail attachments with .exe or .com file-name extensions. Should you receive such an attachment in an e-mail with our name and/or address in the “From” line, notify us by phone and do not open the attachment. The UBA will never ask you by e-mail or over the phone to provide us with sensitive information such as bank details or passwords.

7. Data archiving

Each time a user accesses our Web site, a log file is stored on our Web server for data security purposes for up to 14 days. Such log files contain the following information:

  • Name of the file called.
  • Call date and time
  • Amount of data transferred
  • An indication as to whether or not the call was successful.
  • The user’s IP address, which is fully anonymized.

Such log data will be used solely to optimize our Web site and/or for statistical purposes. Any provisioning of such data to any third party for either commercial or non-commercial purposes shall be excluded. We do not merge log file data with any other stored data such as that generated when other Web sites are accessed and personal data is provided. Any direct access to any user’s IP address in any log file is not possible and will not occur. IP addresses will be evaluated only in the event of an attack on the UBA’s Internet infrastructure, any violation of the standards of common decency, or any illicit action in connection with the use of our Web site. In any such case, the IP addresses of UBA Web site users can only be obtained via a criminal investigation and your Internet provider.

As a user of this Web site, under German law you are entitled to obtain information concerning the scope and nature of any data that has been stored in connection with any visit to this Web site.
